FX policy & pricing

  1. Name the reference exchange-rate source for each currency pair. State the quote direction, fixing date and time, and whether you use a spot or forward rate.
  2. State the FX markup for each currency pair as a percentage or a contractual maximum. If it is zero, confirm zero in writing. Explain any conditions or variations.
  3. Specify the amounts subject to FX markup: gross salary, employer contributions, benefits, expenses or service fees. List any separate conversion and payment charges.
  4. Provide proposed contract wording for the rate source, markup or cap, supported currency pairs and conditions under which these terms can change.
  5. State whether we may fund invoices in local payout currencies. List supported currencies, fees and any conversion that still takes place.
  6. Provide a worked example for each country: local employer cost, reference rate, markup, applied rate, converted amount, service fee and total invoice. State the validity period.

Invoice & reconciliation

  1. Supply a redacted invoice showing local-currency amounts, applied exchange rates, invoice-currency amounts and service fees separately.
  2. Show how your payroll register, invoice and FX calculation reconcile. Identify any rounding, buffers, adjustments or third-party charges.
  3. Explain how estimated employer costs are reconciled to actuals, including the timing of adjustments and refunds.

Deposits & funding

  1. State any refundable deposit: amount, currency, calculation basis, holding arrangements, interest treatment and refund timeline.
  2. State payroll pre-funding deadlines and payment terms. List charges for late funding, credit facilities and each payment method.
  3. Identify who bears currency movement between rate fixing, payment and settlement. Explain treatment of refunds or returned deposits in a different currency.

Other fees & exit terms

  1. List service fees by country and billing cadence, including minimum seats, contract term, volume discounts and charges for unused committed seats.
  2. Itemise all additional fees with amount, currency and trigger: onboarding, offboarding, contract amendments, expenses, off-cycle payroll, benefits administration, screening, equipment and immigration.
  3. State the price-change policy, notice period and any cap. Distinguish fixed provider fees from variable statutory or third-party amounts.
  4. Describe employee and provider exit costs, transfer support, refund timing and treatment of accrued leave, notice and severance. Separate provider charges from statutory obligations.
