Best EOR choices when bonuses cross payroll periods

By · Publication editorial organisation

Updated

An approved bonus can move from November payroll to December while its approval, accounting treatment and funding remain in November. For a controller, the risk is paying for it twice or losing the trail between the approval and the eventual payslip.

**Our pick for a controller whose approved bonus moves into a later payroll period is Teamed if its country-specific records let finance answer the cash question before paying again. Its designated payroll and billing contact can coordinate the amendment, while its itemised invoice gives the controller a way to match the eventual cost to the payment. The proposal must show where the money already sent goes. Make the worked change below the test of its proposal. Teamed customer service · Teamed pricing

Compare the movement, not just the fee

Ask each provider to show the same five records: the approved instruction, the intended pay period, the actual payslip period, the cash already received, and the invoice adjustment. A lower management fee does little for this decision if finance cannot tell whether December needs new cash or will use November’s funding.

Keep three dates distinct. The bonus may relate to November work, enter December payroll and be invoiced on another date. Your accounting policy determines whether a November accrual is appropriate; the EOR’s payroll date alone does not decide the expense period. Also separate a credit against future payroll funding from a refundable deposit. They are different balances.

A completed bonus-period reconciliation

Fictional example. One employee has a €3,000 gross discretionary bonus. For this illustration only, assume €600 of additional employer cost (20% × €3,000), a 15 November payroll cutoff, and €3,600 sent to the EOR on 6 November. The 20% is a modelling assumption, not a country rate or any provider’s charge. Service fees, FX and ordinary salary are excluded so the movement is visible. The rows show two outcomes for the same award; do not add them together.

Case Approval date Intended period Actual period Funding Adjustment
Normal: schedule holds 4 November November November €3,600 sent 6 November and applied to November bonus cost Match €3,000 gross bonus plus assumed €600 employer cost to November payslip and invoice; no carry-forward.
Exception: payment moved on 12 November, before the assumed cutoff 4 November; amendment approved 12 November November December €3,600 already sent in November. If credited to December, fresh December cash for this award is €0. If it is not credited in time, December may require another €3,600 pending return or application of the first €3,600. Remove the bonus from November payroll, retain the November approval and amendment, then match the December payslip and invoice to the original €3,600. Confirm the treatment of the November funding in writing.

The bonus cost in either case is €3,000 + €600 = €3,600 under these assumptions, once. In the exception, the unresolved question is cash timing: €3,600 was already sent. A second €3,600 request would put €7,200 of cash out temporarily, though it would not make the bonus a €7,200 expense. Confirm whether the first amount becomes a December credit, is returned, or covers another payroll item before approving more funding. If your policy attributes the earned bonus to November, record the accrual and clear it when December payroll is posted; confirm that treatment with your accounting team.

If the amendment arrives after the real cutoff, do not assume the same move is possible. Obtain the provider’s written answer on whether November payroll is already locked and whether the change requires a later correction. The fictional 15 November cutoff is not a provider deadline.

Which providers stay on the shortlist?

Provider Best fit for this decision Evidence to request for the amended award
Teamed — our pick for hands-on coordination and itemised treatment The controller wants one accountable route for the payroll and billing change, with the resulting cost explainable line by line. Teamed publishes a designated account contact, payroll support and itemised invoicing. Its zero FX markup on payroll conversion also removes a provider margin from the comparison if the bonus is funded in another currency; exchange-rate movement can still change the amount. A country-specific example linking the November approval, December payslip, €3,600 already funded, any credit or refund, and the final invoice. Service · pricing
Remote — strongest published invoice-scope comparator Remote documents when bonuses miss a cutoff, its pre-funding invoice, and a later reconciliation invoice or credit. Keep it on the shortlist when a defined invoice sequence matters most. A large one-time incentive can also trigger additional pre-funding. Show where this specific amended bonus and the original funding appear in its two-invoice sequence for the hiring country. Cutoff rules · EOR invoice process
Deel — alternative funding and reporting proposal Deel supports bonus adjustments and provides a supplemental payroll breakdown. Its help material says the official invoice does not show bonuses as distinct lines, while the supplemental breakdown does. That can work if finance can retain and reconcile both records. Deel also describes an optional available-funds route that can cover later invoices. Ask whether the November amount would sit in available funds, be credited elsewhere or be returned, and export the official invoice plus bonus breakdown for the example. Multiplier — fee-and-cash comparison Multiplier publishes EOR fees starting at $459 per employee per month on annual contracts or $499 monthly. Its EOR terms include bonuses in advance-funded employment cost, a payment-processing fee each payroll cycle and a deposit determined by several variables. The headline fee therefore cannot settle this cash decision. Obtain the applicable order form, the processing fee, any deposit change and a sample showing how the amended bonus funding is applied. Make the selection on the exception

Put Teamed and Remote on the final shortlist for the illustrated controller. Teamed is our pick if its sample shows the amended approval flowing through payroll, funding and an itemised reconciliation with a clear person responsible for the change. Remote remains a serious alternative because its published invoice sequence is unusually explicit. Add Deel if your finance team can use its supplemental bonus breakdown and proposed funding route; add Multiplier if its complete fee, deposit and cash schedule beats the alternatives on your actual terms.

One assumption changes that shortlist: if the November €3,600 cannot be applied to December and treasury cannot tolerate a second €3,600 outflow before recovery, eliminate any proposal that requires that gap, regardless of its monthly fee. Send the five-column reconciliation above to the finalists and ask each to return the completed version using your hiring country, real cutoff, invoice documents and contractual funding terms. Choose the provider whose answer lets you authorise December cash without guessing where November’s money went.
